Becoming a Member

Membership is open to anyone who shares our aims...

The more members we can have, the better position we will be in to achieve our aims - not just because we will have more income available to pay for publishing and expenses like that, but because we will be able to build a stronger community of members - both online and in the 'real world'.It doesn't matter where you live, how old you are, whether you know about history or anything else.

We believe that history is about far more than dates and events - it is about people and the lives they lived - we have a child abandoned in the road and the mother never seen again, a front lawn that boasted a cannon from South America, a court case about a noisy chicken, Alfred Butcher the first village butcher, a less than straigh-forward stock broker, royalty, people in the workhouse, and much much more...

We can help you determine the history of your house or discover your ancestors in the village and possibly add little-known facts to your family history; If you haven't begun your house or family history we can help you get started...

If you believe that this history of Oatlands, in addition to the dates and events, should be discovered and made known to as wide an audience as possible and across all age ranges, please consider joining us and help us to make a difference.

The Benefits of Membership

We are working hard to create a "Member's Only Area" on the website that will contain various census and other transcriptions to facilitate researching family and house histories as well as enabling members to gain a more complete understanding of Oatlands.

This "Member's Area" will also (when we can discover how to achieve it) contain a "forum" where questions and answers can be shared with others. It is our intention that this should build into a community for members who are widely scattered - maybe not the same as actually being in the village, but it is the best we can do.

Members will be entitled to discount on all publications and other items produced for general sale by Oatlands Heritage Group.

Members will be insured for activities organised or sanctioned by the group, through our group policy with BALH. Limited exceptions apply.

When we have a strong enough membership-base situated in or near Oatlands, we hope to be able to arrange regular meetings and talks about both Oatlands and other local and family history topics. These will be open to the general public on payment of a small entry charge but will be freely available to members as part of their subscription.

In addition, we hope that members will have "a warm feeling inside", knowing that they are helping to ensure that the history and heritage of Oatlands is researched, understood and shared...

CONSTITUTION

 Name

1)   The Group will be named OATLANDS HERITAGE GROUP.
The registered address of the Group will be: c/o 38 Norman House,
Chertsey Road, Shepperton, Middlesex TW17 9LF.

Objects

2)  To promote interest in and understanding of the social, political and physical history of Oatlands (Oatlands Park) as a community distinct from Weybridge or Walton on Thames by collecting and disseminating knowledge of the village’s history, heritage and the people with which it has been connected.

      Status

3)  The Group will be an independent body able to seek support or funds from appropriate sources.
Membership

4)  Membership will be open to any person wishing to support the Group’s objectives, subject to the approval of the committee.

5)  Applications can be made to any member of the committee, or at the registered office.

6)  The membership subscription shall be recommended by the committee and agreed by the Group at the AGM.

7)  Reduced membership subscriptions to be granted at the committee’s discretion.

8)  Honorary memberships to be agreed by the Annual General Meeting.

Committee

9)  A committee of at least five members will be elected at the AGM, one third of committee members to retire annually by rotation, but are able to stand for re-election.  The committee will elect a Chairman, Vice-Chairman, Secretary, Membership Secretary, Research Coordinator and Treasurer from their number.  The committee will have the power to co-opt.  A quorum shall consist of four members.

Patrons

10)The Group may from time to time recognise a contribution to its well-being by nominating a patron.

Finance

11)The Honorary Treasurer will receive, for the use of the Group, all monies payable to it, and from such monies pay all sums payable by the Group.  All monies received will be paid into the Group’s bank account; all cheques will be signed by the honorary Treasurer and one other registered signatory.  The committee shall nominate such additional members to provide second signatures as it deems necessary.

12)Audited accounts will be presented at the AGM and members will appoint someone to audit the accounts for the following year.

Meetings

13)Ordinary meetings will be held at times and dates to be decided by the committee.  Items for the agenda should be submitted to the Secretary at least 48 hours before the meeting.

14)The Annual General Meeting shall be held within the period of 15 months from the previous AGM to receive a copy of the Balance Sheet for the preceding year, and to elect members of the committee.

15)The committee may call an Extra-ordinary General Meeting at any time, but must do so within twenty one days on the written request of not less than ten members of the Group.  Such written request shall relate the purpose of the meeting.

16) For all Extra-ordinary General Meetings, other than under paragraph 23, a notice shall be posted on the notice board at Walton Library and within the member’s section of the Group’s website at least ten days before the day of the meeting and shall contain the Agenda and no other business shall be discussed at that meeting.

Guests

17)Members may invite non-members to ordinary meetings.  At the committee’s discretion there may be a charge.

Procedure

18)The Group will adopt a no smoking policy for its meeting and on any premises where it hosts an event of any kind.

19)The Chairman will preside at all general and committee meetings, or, in his/her absence, the Vice-Chairman, or failing that the Honorary Secretary or failing that the Honorary Treasurer.  If no officer is present the meeting shall elect one of their number to act as Chairman.

20)In the case of an equal division of votes the chairman shall have a second, casting vote.

21)No alteration will be made to these rules except by a two thirds majority of those members voting at an Extraordinary General Meeting called for that purpose.  A quorum will constitute twenty percent of members.

22)The Group shall not be dissolved without the agreement of two thirds of the members present at an Extraordinary General Meeting called for that purpose.  Should the Group dissolve, its assets should be offered to an appropriate organisation of similar interests and aims as determined by those present at that Extraordinary General Meeting.

 23)Any matter not provided for in this constitution will be dealt with at the discretion of the committee.

 

Issued and approved by the founding committee as a formalisation of the draft constitution drawn up at the inception of Oatlands Heritage Group in 2009.

Activities Covered:

1) meetings

2) visits to historical sites

3) collection of local archive material

4) photographing local sites for recording purposes

 

Examples of Activities Not Covered:

1) property ownership of land or buildings

2) the running of semi-commercial under-takings, such as local museums 3) Manual work of any kind, i.e. archaeological fieldwork and excavations

 

Insurance Cover Provided:

The Insurance cover provided by our group insurance policy is as follows:

                  a. £5,000,000 of liability to third parties or damage to third party property: this covers the Legal Liability of the Society for any amounts they become liable to pay as damages for bodily injury or damage caused by an accident during the Period of Insurance, including all legal defence costs arising from such a claim – extends to include member-to-member liability. This cover also includes Products Liability cover (this will indemnify any Society against any claim for food poisoning). Subscribing societies must pay the first £250 of any claim for third party property damage.

                  b. £10,000,000 of Employers Liability in the event of bodily injury to employees / volunteers: this covers the Legal Liability of the Society for any amounts they become liable to pay as damages for bodily injury caused by an accident during the Period of Insurance, including all legal defence costs arising from such a claim.

                  c. £250,000 of legal defence costs against prosecution for a breach of the Health & Safety at Work Act.

                  d. £12,500 of cover for destruction of or loss or damage to a Society’s miscellaneous business equipment and other contents (replacement value). These include items such as books and records. This is subject to an excess of £250 for each and every loss. Theft from buildings is subject to “forcible and violent entry” to the building. There will be no cover if a locked cupboard or cabinet is broken into and there has been no forcible entry into the building. Should items be left in a car: all doors and windows should be secure; entry to the vehicle resulting in a theft should be by forcible and violent means; unattended items should be locked in the car boot and not be visible from outside.

                   

Please note that Oatlands Heritage Group and its Members (the Insured) must take all reasonable precautions for the safety of the insured property; take all reasonable precautions to prevent bodily injury or damage and comply with all statutory regulations and regulations imposed by an authority.

There is an inner limit of £2,000 for any one item under this section of cover.
